Privacy at Pup Notes

A plain-language summary of how Pup Notes handles personal information. The privacy policy is the full statement, and it applies if this page ever says something different.

Pup Notes is in development and launching in the US around the end of 2026. This page describes how the service is built to work at launch, and we update it whenever that changes.

Your practice owns its client data

Pup Notes handles clients’ and their dogs’ information on your practice’s behalf and follows your instructions. Your practice can export its data from settings at any time. We don’t use your clients’ information to market Pup Notes to them.

We don’t sell personal information

We don’t sell personal information or use it for advertising. Mobile phone numbers and text-message opt-in data and consent are not shared with any third parties or affiliates for marketing or promotional purposes.

AI drafts stay private until you accept them

Dictation and notes are transcribed and drafted by OpenAI in the United States, which doesn’t use them to train its models. Raw audio is deleted within 24 hours. Every draft is private to your team until a trainer accepts it, and nothing is shared with a client automatically.

Texts only with permission

A practice texts a client only after the client ticks a box that isn’t ticked for them, with separate boxes for reminders and marketing. Reply STOP to any text to stop texts from that practice. Contacts a practice imports are never texted until they opt in themselves.

This website

pupnotes.com sets no cookies, stores nothing in your browser, and loads no scripts, fonts or images from other sites. We may count page views with a short, reviewed list of events sent to PostHog in the United States, with no cookie and no identifier that links your visits to different pages. If your browser sends Global Privacy Control or Do Not Track, your visits aren’t counted. There’s no advertising tracking and no session recording.

If you join the waitlist, your email address is recorded in PostHog so we can contact you about Pup Notes. Email privacy@pupnotes.com to be removed.

Where your data is stored

Pup Notes stores and processes data in the United States. The one exception is push notifications to phones, which go through global services from Google and Apple and contain no names, details or message content.

How long we keep it

One retention schedule applies to every practice. For example, session notes, homework, incidents and messages are kept for 3 years after a client relationship closes, payment records for 7 years after the tax year, and AI drafts that aren’t accepted for no longer than 30 days.

Your choices

You can ask to see, correct, export or delete your personal information. If you’re a client of a training practice, contact the practice first: it controls your training records. Trainers and staff can email us. Pup Notes accounts, the client portal and booking are for people 18 or older.
