How Pup Notes works

From setting up your practice to a client checking in on their homework, here’s how a training practice runs on Pup Notes.

Pup Notes is in development and launching in the US around the end of 2026. This page describes what’s planned for launch.

  1. Set up your practice

Add your services, prices, policies and locations, and invite your team.

    • Private lessons, evaluations, group classes and packages
    • Sessions at your location, in clients’ homes, in public places or online
    • Cancellation, no-show and package policies your clients see before they pay
    • $15 a month for each additional trainer; staff who don’t train, such as admins and front desk, are free

  2. Bring your clients and dogs

Import clients, dogs, package balances and upcoming appointments from a CSV file, with a preview before anything is saved. Early customers get hands-on help.

    • Column presets for PupManager, Acuity, Time To Pet and Google Sheets exports
    • Duplicate checks and a list of any rows that need fixing
    • Undo an import while nothing has happened to the records yet
    • Choose your intake questions and the vaccinations you track

    Learn more: Clients and dogs

  3. Open your calendar

Clients book open times from your booking page, and you schedule the rest. Pup Notes checks your availability, class capacity and requirements before it confirms.

    • Day, week and month views
    • Recurring sessions and classes
    • Busy times read from your Google or Microsoft calendar
    • Reminders by email, text message and app notification

  4. Run the session, then talk it through

Record a voice note after the session. Review drafts of your private notes, a client summary, homework and exercise scores, and accept, edit or discard each one.

    • Nothing is added to your records or shared until you accept it
    • Homework suggestions come from your own library
    • Score each exercise and see progress over time
    • Voice recordings are deleted within 24 hours

  5. Assign homework and get paid

Send homework with your instructions and demonstration videos. Take payment by card online, from a QR code or with Tap to Pay, or record cash and other payments.

    • Clients log practice from a text or email link, without signing in
    • Summaries report what clients said, such as “3 of 4 planned practices reported”
    • Packages and class credits used as sessions are completed
    • Stripe’s fees plus a 0.5% Pup Notes fee, with no surcharge for clients

Learn more: Homework library · Payments and packages

  6. Invite clients to the portal

Each caregiver in the household gets the client portal, with nothing to install.

    • Upcoming and past sessions, and online booking
    • The session summaries and progress you share
    • Homework and one-tap check-ins
    • Invoices, payments and messages with your practice

    Learn more: Client portal
